Credit or refund?
Crediting means reducing what the payer owes. Use ‘Credit’ on the invoice when the charge was too high or should not be paid — and no money is to be paid back.
Refunding means paying money back. Use ‘Refund’ on a payment when the payer has paid too much, or when a member has left and is to get their money back.
How to refund
- Open the invoice and find the payment among the payments.
- Choose ‘Refund’. The dialogue shows how much can be refunded.
- Fill in ‘Amount (NOK)’.
- Decide on ‘Credit the same amount’ (see below).
- Enter a ‘Reason’, for example ‘double payment’ or ‘left the club’, and choose ‘Refund’.
‘Credit the same amount’
On: the charge counts as settled. Use it when the member has left and is to get the money back — the invoice is not left as unpaid.
Off: the charge is reopened for the amount. Use it when you pay back a double payment — the invoice should still be paid once.
The option is on by default. If you refund an overpayment, it is off, because the charge has already been settled.
Overpayments
An invoice becomes ‘Overpaid’ when more has come in than it is for — for example when someone paid twice, or when you credited an invoice that had already been paid.
Under ‘Reconciliation’ you find ‘Overpaid invoices’ for all periods. Open the invoice and refund the excess.
Refunding an online payment
Payment with Vipps and card is coming. Once it is in place, the refund is sent to the payment provider and goes back to the payer’s card or Vipps. The status is updated when the provider confirms it.
